File Categories
Learn how to create and manage File Categories in Workglue to organize files uploaded to Jobs, Opportunities, and the mobile app.
File Categories are the labels used to organize files uploaded in Workglue. When a file is uploaded to the Files tab on a Job or Opportunity, or through the Files section in the mobile app, the user selects a category to tag it. Categories keep your files organized and make it easier to find specific documents, photos, or records on a project.
Media attached to Job Logs are always uploaded from the mobile app and are automatically stored in a folder titled Mobile Uploads, as well as appearing in the Job Log.
If your company uses the PaintScout integration, PaintScout photos and PDFs are assigned to a file category. That category is configured in the PaintScout Integration settings, not here.
How to access File Categories
- In the left navigation, select My Account.
- Select the Custom Fields tab.
- From the Select Category dropdown, choose File Categories.
The page displays the Customize File Categories section with the File Categories table.

The File Categories table displays each category name. Categories marked as Restricted display an Is Restricted tag. The drag handle on the left side of each row lets you reorder categories.
Restricted categories
Restricted categories can only be accessed by users with the appropriate role permissions. Restriction settings are configured in the Employees section under role and permission settings.
Use restricted categories for sensitive documents like receipts, financial records, or customer estimates that should not be visible to all users.
How to add a new File Category
- Go to the File Categories section in Custom Fields.
- Select Add Category in the top right.
- The Add New File Category modal opens.
- Enter a Category Name.
- Check Restricted Access if this category should only be visible to users with the appropriate role permissions.
- Select Save File Category.
How to reorder File Categories
The order of categories in the list controls the order they appear in the category dropdown when uploading a file.
- Go to the File Categories section in Custom Fields.
- Select the drag handle on the left side of any category row.
- Drag the category up or down to its new position.
- Release to drop.
How to delete a File Category
- Find the File Category in the table.
- Select the red trash icon on the right side of the row.
- Confirm the deletion.
Deleting a File Category cannot be undone.
