PaintScout Integration
Learn how to set up the PaintScout integration to push estimates and work orders into Workglue.
Connect your PaintScout account to Workglue to sync estimates, invoices, and contacts. When a PaintScout estimate is sent to Workglue, the data includes a PDF of the customer-facing quote with payment terms, a PDF of the work order, and any media attached to line items.
What is PaintScout?
PaintScout is an estimating software built for painting contractors. The integration with Workglue lets you build estimates in PaintScout and push the accepted quote, work order, and line items back into Workglue.
Before you start
Set up your Cost Codes in Workglue before connecting PaintScout. If you use the QuickBooks Online Integration, import your Products & Services into Workglue first.
You'll need to map PaintScout quote types and products to Workglue cost codes during setup. If your cost codes aren't ready, the integration won't function correctly.
How to connect PaintScout to Workglue
The integration uses your Account API key, generated in Workglue, and pasted into PaintScout.
Step 1: Connect Workglue to PaintScout
- In Workglue, go to My Account > Integrations.
- Scroll to the PaintScout section.
- Click Connect PaintScout. A new window will open.
- In the new window, log in with your PaintScout credentials.
Step 2: Get your Workglue API key
- In Workglue, go to My Account.
- Click the Integrations tab.
- Scroll to the Workglue section.
- If the key hasn't been created, click Generate API Key.
- Click Copy Key.
If you reset your API key later, you'll need to update it in Paintscout and in any other integrations that use it.
Step 3: Add the Workglue API key to PaintScout
- In Paintscout, click the person icon in the top right.
- Go to Account Settings > Integrations
- Find Workglue V2 and toggle the integration on.
- Paste your Workglue API key into the field.
- Scroll to the top and save.
The Workglue API key is required. The integration settings will not appear in PaintScout until the key is saved.
Step 4: Configure your settings in PaintScout
- Choose when estimates are sent to Workglue (e.g., automatically when accepted). Leave the checkboxes blank for manual exports only.
- Map each PaintScout quote type to a Workglue labor cost code.
- Map each PaintScout product to a Workglue material cost code.
- Click Save Changes.
Every drop-down must be filled out for the integration to work.
Step 5: Configure your settings in Workglue
- Return to Workglue and go to My Account > Integrations.
- Scroll to the PaintScout integration section.
- Next to the Quote, Work Order, and Line Item Attachment categories, select which file folders should organize the PDFs and images received from PaintScout.
The PDF of the quote received from PaintScout contains financial information. Use restricted file folders to limit who can view these PDFs.
Using QuickBooks Online with this integration
If you also use QuickBooks Online, connect QuickBooks to Workglue rather than to PaintScout. This keeps your job costing data flowing through Workglue and avoids duplicate customer records.
How to use the integration
Once setup is complete, you can move estimates between Workglue and PaintScout.
Send an Opportunity from Workglue to PaintScout
- Open an Opportunity in Workglue.
- On the Overview tab, find the Original Estimate section.
- Click Create Original Estimate.
- Select Create Quote in PaintScout.
- Optionally, select a Quote Type and Template.
- Click Create Quote in PaintScout.
This opens the estimate in PaintScout with the customer's contact information already filled in.
Send an estimate back to Workglue
After your customer accepts the quote in PaintScout:
- Click the drop-down next to the Save button.
- Select Send to Workglue V2.
- Return to Workglue and reload the Opportunity.
The line items will appear in the Original Quote section. The PDFs of the estimate and work order will be in the Files tab, organized into the folders you set during the configuration.
You can configure PaintScout to send estimates to Workglue automatically when a customer accepts the quote. This setting is in PaintScout's Workglue Integration Settings.
What gets transferred
When an estimate is sent from PaintScout to Workglue
- a PDF of the customer-facing quote with accepted terms
- a PDF of the work order
- Line Items with hours, notes, and pricing
- Media attached to line items
