Scheduling Workers
Learn how to schedule workers on Jobs in Workglue using the scheduler and the Schedule Workers button on the Job page.
Workers can be scheduled on Jobs from two places in Workglue: the Schedule Workers button on the Job page, or the scheduler under Jobs > Schedule. Both use the same scheduling form.
A Job must be in an Active stage before workers can be scheduled on it. Opportunities cannot have workers scheduled.
The scheduler
The scheduler is accessed from Jobs > Schedule. It has two views toggled from the top right:
- By Worker. Workers and subcontractors are listed in rows with dates across the top. Each cell shows the Job name and shift times for that worker on that date. PTO appears in yellow.
- By Job. Jobs are listed in the left column with scheduled workers shown against each date.
Use the arrows to navigate between weeks. Use the Filter dropdown to filter by worker or Job. Use the date picker to jump to a specific date.
Scheduling from the Job page
- Open the Job.
- Select Schedule Workers on the Overview tab.
- Set the Start Date, Start Time, and End Time.
- Toggle Is Overnight if the shift runs past midnight.
- Set Repeat Days to schedule the same shift across multiple consecutive days.
- Toggle Include Weekends if the repeated shift should include Saturday and Sunday.
- Select one or more workers and subcontractors from the list.
- Select Save.
Scheduling from the By Worker view
- Go to Jobs > Schedule.
- Select By Worker in the top right.
- Find the worker you want to schedule.
- Select the green + on the shift start date, or select +Add.
- Select Assign Job.
- Select the Job from the Set Job dropdown.
- Set the Set Hours start and end times.
- Toggle Is Overnight if the shift runs past midnight.
- Enter a number in Repeat to schedule the shift across multiple consecutive days.
- Select Save.
A Job must be selected before a task can be assigned to the shift.
Assigning a task when scheduling
When scheduling from the By Worker view, you can assign a task to the worker as part of the shift.
- Complete the shift details and select a Job.
- Select +Add a Task in the Assign a Task section.
- Enter a Title and optional Task Description (300 character limit).
- Set an optional Due Date and time.
- Select Notify me when task is complete if you want a notification when the worker marks the task done.
- Set an optional Alert date and time under Optional Alert.
- Select Save Task.
- Select Save to save the shift.
Scheduling from the By Job view
- Go to Jobs > Schedule.
- Select By Job in the top right.
- Find the Job in the left column.
- Select the green + on the shift start date, or select +Add.
- Select Assign Job.
- Set the shift hours, repeat days, and overnight toggle as needed.
- Select workers and subcontractors from the list.
- Select Save.

The worker selection section shows all employees and subcontractors available to schedule in your account. Search by name using the search bar. Workers and subcontractors are listed in separate sections.
PTO and the scheduler
Approved PTO appears on the scheduler in yellow. A worker with PTO on a given day can still be scheduled, and the PTO will be visible alongside the shift.
