Mailing Lists
Learn how to build and export mailing lists from your Customer Accounts and Contacts in Workglue.
The Mailing List tab on the Customers page is where you build address lists for marketing campaigns, mailers, and customer outreach. You can generate a list automatically from Jobs that changed status during a date range, or build a custom list by searching Customer Accounts and Contacts. Mailing Lists are exported as a CSV or printed for use in email tools like Brevo and Mailchimp, or for physical mailings.
Before you start
Mailing List uses the marketing consent settings on your Customer Accounts and Contacts. Make sure Marketing Accepted, Mail Marketing, and Email Marketing are set correctly on each record so your lists respect your customers' preferences. These settings are managed when creating or editing a Customer Account and apply at both the account and contact level.
CAUTION Always confirm marketing consent before exporting and sending. Workglue records the consent settings, but you are responsible for honoring them.
Accessing the Mailing List tab
- Select Customers in the navigation.
- Select the Mailing List tab.
The Mailing List tab has two views toggled in the top right:
- Generate List. Build a list automatically from Jobs that changed status in a date range.
- Create List. Build a custom list by searching Accounts and Contacts and combining the results.
Generate List
Generate List builds a mailing list from Jobs whose status changed within a date range you choose. Use this to target customers whose Jobs recently moved to a specific stage, such as everyone who hit Completed - Pending Payment in the last 30 days, or every Won - Needs Schedule from last quarter.
How to generate a list from Job status changes
- Select Customers > Mailing List > Generate List.
- Enter a From Date.
- Enter a To Date.
- Select a Job Status from the dropdown.
- Select Generate List.
The results table populates with every Customer or Contact whose Jobs match the criteria. If no Jobs match, Workglue displays "No data found for the selected criteria. Try adjusting your date range or job status selection."
Use the Search bar above the results table to filter the generated list by name.
Use Generate List for time-based outreach campaigns like post-Job thank you mailers, review requests for recently completed Jobs, or follow-up offers for customers whose Jobs were Closed - Lost in the last quarter.
Switching between Accounts and Contacts results
Two buttons above the results table control which view you see:
- All Accounts List. Shows the matching Customer Accounts.
- All Contacts List. Shows the matching Contacts attached to those Accounts.
Switching between the two does not re-run the search, it just changes which records display from the same generated list.
Exporting a generated list
Two export options sit above the results table:
- Print Report. Opens a printable view of the list.
- Download CSV File. Downloads the list as a CSV file ready to import into Brevo, Kit, Mailchimp, or any other email or mailing program.
Create List
Create List is the custom list builder. You build a temporary working list by running one or more searches against Customer Accounts or Contacts, and the results from each search combine into a single list you can export.
The working list is temporary. Reloading the page clears any unchecked names. Uncheck the box next to any name in the results to remove that person from the list before exporting.
Selecting or creating a group
The Select a group or create a new one dropdown at the top of Create List lets you save and reuse search groups across sessions. Select New Group to start fresh, or select a saved group from the dropdown to load the searches you previously set up.
Use saved groups for lists you build regularly, such as a "Q1 Vancouver North Shore Strata Outreach" group or a "Past Customers - Calgary SW" group, so you don't have to rebuild the same searches every time.
Naming your search group
Before running a search, name the group so you can identify it on the working list:
- Enter a Group Name.
- Enter an optional Description.
Group Name and Description label the search group on the working list so you can tell multiple searches apart when you stack them.
Search by Account/Customer
Search by Account/Customer pulls Customer Accounts that match your criteria.
- Select a field in the Search where? dropdown:
- City
- Status
- Zip Code
- Enter the value to search for in the Enter value field.
- Select Add Accounts to List.
The matching Accounts are added to your working list below the form.
Search by Contact
Search by Contact pulls individual Contacts that match your criteria. The Search where? options are the same as Search by Account/Customer: City, Status, and Zip Code.
- Select a field in the Search where? dropdown.
- Enter the value to search for in the Enter value field.
- Select Add Contacts to List.
The matching Contacts are added to your working list below the form.
Stacking searches
Each new search you run adds its results to the working list rather than replacing what's there. Build a list across multiple cities or ZIP codes by running a search, changing the value, and running another. Use named search groups so you can see which results came from which search.
Removing names from the list
Uncheck the box next to any name in the working list to remove that person before exporting.
Exporting a created list
Once your working list is built, export it the same way as a generated list using Print Report or Download CSV File.
Mailing Lists and marketing consent
Mailing Lists respect the marketing consent settings on each record:
- Marketing Accepted. The top-level consent for whether the account or contact receives marketing.
- Mail Marketing. Whether to include the record in physical mail campaigns.
- Email Marketing. Whether to include the record in email campaigns.
Marketing preferences are tracked at both the account level and the contact level. The account-level settings apply to the company or property as a whole, and the contact-level settings apply to each individual person. This lets you keep an account opted in to email campaigns while letting an individual contact at that account opt out, or vice versa.
To update marketing preferences, edit the Customer Account or Contact directly. See Creating a Customer Account.
Using Mailing Lists with Brevo, Mailchimp, and other tools
Workglue does not send the emails or mailers itself. The Mailing List feature builds and exports the recipient list. To use the list:
- Build and refine your list using Generate List or Create List.
- Select Download CSV File.
- Import the CSV into your email or mailing tool of choice, such as Brevo, Mailchimp, Constant Contact, or your direct mail service.
- Run your campaign from that tool.
For physical mailings, use Print Report to print mailing labels or address sheets directly.
