Job Stages

Learn how Job Stages work in Workglue, how the Sales, Active, and Closed groupings drive your Opportunity and Job pipelines, and how to add custom stages.

Job Stages define the stages an Opportunity or Job moves through in Workglue. They are grouped into three types: Sales, Active, and Closed. The grouping determines where the stage appears in your workflow. Sales stages are part of the Opportunity pipeline, Active stages are part of the Jobs pipeline, and Closed stages mark a record as finished or no longer in play.

Workglue includes 14 pre-defined default stages. The defaults are hardcoded and cannot be deleted. You can add custom stages below the defaults, and those custom stages can be deleted at any time.

How to access Job Stages

  1. In the left navigation, select My Account.
  2. Select the Custom Fields tab.
  3. From the Select Category dropdown, choose Job Stages.

The page displays the Opportunity and Job Stages section with the full list of stages.

Default Job Stages

Workglue ships with the following default stages.

Sales stages

  • Unqualified Lead: An incoming opportunity that still needs initial qualification.
  • Good Lead
  • PaintScout Estimating: Estimate is being prepared or reviewed in PaintScout.
  • Long-term: A legitimate Opportunity that requires followup pretty far into the future, like a summer opportunity entered during winter.

Active stages

  • Accepted by Customer: Customer accepted the proposal and is ready to move forward.
  • Won - Needs Schedule
  • Active: Job is scheduled or currently in progress with the crew.
  • Completed - Pending payment: Work is complete and awaiting final payment.
  • Unbillable: A legitimate Opportunity that requires followup pretty far into the future.
  • Reopened

Closed stages

  • Completed - Archived
  • Closed - Did not bid
  • Closed - Lost to competitor
  • Closed - Lost for unknown reason

How the Sales, Active, and Closed groupings work

The group a stage belongs to determines where it shows up in Workglue.

  • Sales stages appear in the Opportunity pipeline. An Opportunity stays in Sales until it is either accepted by the customer (moves to Active) or closed (moves to Closed).
  • Active stages appear in the Jobs pipeline. A Job stays in Active from the moment it is accepted through scheduling, work in progress, and payment.
  • Closed stages mark a record as finished. Closed Jobs and Opportunities are removed from active pipelines and stored for reporting and historical reference.

How to add a custom Job Stage

If the default stages do not cover your workflow, you can add custom stages.

  1. Go to the Job Stages section in Custom Fields.
  2. Select Add New Item at the bottom of the stages list.
  3. Enter a Stage Name.
  4. Enter a description (optional but recommended for clarity).
  5. Select the Stage Type: Sales, Active, or Closed. This determines which pipeline the stage appears in.
  6. Save the new stage.

The custom stage appears at the bottom of the stages list and can be reordered with the drag handle on the left side of the row.

How to reorder Job Stages

The order of stages in the list controls the display order in your Opportunity and Job pipelines.

  1. Go to the Job Stages section in Custom Fields.
  2. Select the drag handle on the left side of any stage row.
  3. Drag the stage up or down to its new position.
  4. Release to drop.

The new order saves automatically.

Order your stages in the natural flow of work. For example, Unqualified Lead should come before Good Lead, and Accepted by Customer should come before Active. This makes the pipeline easier to read at a glance.

How to edit or delete a Job Stage

Default stages are hardcoded into Workglue and cannot be deleted but may be rearranged.

Custom stages can be edited and deleted.

To edit a custom stage:

  1. Find the custom stage in the list.
  2. Select the stage row to open the edit view.
  3. Update the name, description, or stage type as needed.
  4. Save your changes.

To delete a custom stage:

  1. Find the custom stage in the list. Custom stages display a red trash icon on the right side of the row.
  2. Select the trash icon.
  3. Confirm the deletion.

Deleting a custom stage cannot be undone. If any Opportunities or Jobs are currently in that stage, move them to a different stage before deleting.
