Employees Overview
Learn what employees are in Workglue, how the Employee List is organized, and what information is tracked on each employee profile.
Employees in Workglue are the people in your company who are added to your account. Active employees are paid users in your Workglue subscription. Each employee has a profile that holds their personal details, payroll rates, position, system role, availability, and documents.
The Employee List
The Employee List is where all employees in your account are managed. It is organized into seven tabs:
- Employee List. The full list of all employees in your account, showing name, status, system role, positions, contact information, emergency contact, birth date, and hire and termination dates. Search by name using the search bar. Filter using the Filter dropdown.
- Time Clock. A view of employee clock-in and clock-out activity.
- Sub Time. Time logged by subcontractors against Jobs.
- Time Sheets. Employee timesheets for review and sign-off.
- Time Off. Time off requests submitted by employees.
- Subs. The list of subcontractors added to your account.
- Employee Tasks. Tasks assigned to employees across all Jobs.
Select Add New Employee at the bottom of the Employee List to add a new employee to your account.
Employee status indicators
Each employee row in the Employee List shows status indicators next to their name:
- Checkmark. The employee is active.
- Shield icon. The employee has access to restricted documents.
- Key icon. The employee has a personal API key generated.
Employee profile
Selecting an employee from the list opens their profile. The profile is organized into several sections.
Employee details
- Workglue ID. The unique ID assigned to the employee by Workglue.
- Employee Photo. A photo of the employee.
- Employee ID. An internal ID for the employee, if used by your company.
- First Name and Last Name.
- Address, City, State/Province, Zip/Postal Code.
- Cell Phone and Home Phone.
- Email. Required for web app access. Select Send Verification Link to send the employee a verification email.
- Last 4 digits of SS#.
- Emergency Contact and Emergency Phone.
- Title. The employee's job title.
- Birthdate.
- Date Hired and Termination Date.
- See Restricted Docs. Whether the employee can view restricted file categories.
- Notes.
Active status
Shows whether the employee is currently active. Select Deactivate Employee to deactivate the employee. Deactivated employees no longer count as paid users in your subscription and cannot access Workglue.
Deactivated employees can be reactivated at any time. Their profile and history are retained.
Payroll
- Hourly Rate. The employee's standard hourly pay rate.
- OT Hourly Rate. The overtime hourly pay rate.
- Cost Rate. The cost to the company per hour for this employee.
- OT Cost Rate. The overtime cost rate.
- Custom Hourly Rate. A custom rate if applicable.
- OT Custom Hourly Rate. The overtime version of the custom rate.
Position
- Employee Position(s). The positions assigned to the employee. An employee can hold multiple positions. Positions determine which Job assignment fields the employee appears in and whether they appear on the scheduler.
- System Role. Controls what the employee can access in Workglue.
Availability
- Days Available. The days of the week the employee is available to work. Used by the scheduler.
Documents
- Employee Files. Files attached to the employee profile.
Custom fields
Custom fields for employees can be added here. Select Add New Custom Field to go to My Account > Custom Fields to create new field types for the whole account.
Employee access requirements
- Mobile app only. Requires a first and last name and a unique mobile number.
- Web app access. Also requires a unique email address.
Active employees are paid users in your Workglue subscription. Employees can be deactivated and reactivated at any time.
