Employee Roles and Permissions

Learn how system roles and employee positions work in Workglue and what access each role provides.

Every employee in Workglue has two things that control how they interact with the system: a system role and one or more positions. These are separate and serve different purposes.

  • System role. Controls what the employee can access in Workglue, including which pages and features they can see and use. Each employee has exactly one system role.
  • Position. Describes the employee's role in the company. An employee can hold multiple positions. Positions determine which Job assignment fields the employee appears in and whether they appear on the scheduler.

System roles

There are five system roles in Workglue. System roles cannot be customized.

Owner

Full administrative access across the organization, including ownership level actions. The Owner role is assigned when a Workglue account is first created and cannot be unassigned or transferred without contacting Workglue Support.

Admin

Administrative access across the web app. Has the same access as Owner with the exception of ownership transfer, which is restricted to the Owner.

Manager

Operational access for creating and assigning work schedules. Has access to the Dashboard, Opportunities, Jobs, Customers, Reports, Messaging, My Work, and Schedules. Account access is limited to Profile only.

User

Standard access for assigned work. Has access to the Dashboard, assigned Jobs, assigned Customers, Messaging, and My Work for tasks and personal calendar. Account access is limited to Profile only.

Mobile Only

Mobile app access only. No web app access. Used for field workers who only need to clock in and out, view their schedule, and complete tasks and checklists from the mobile app.

Employee positions

Positions describe an employee's role in the company. An employee can hold multiple positions. Positions are set on the employee profile and cannot be customized.

The available positions are:

  • Account Owner.
  • Admin/HR.
  • Crew Leader.
  • Sales Person.
  • Subcontractor.
  • Supervisor.
  • Field Worker.
  • Project Manager.

Positions determine which Job assignment dropdowns an employee appears in. For example, only employees with the Crew Leader position appear in the Crew Leader field when editing Job details.

Only employees with the Crew Leader, Field Worker, or Subcontractor position appear on the Job scheduler. Employees with other positions will not appear on the scheduler.

Employees vs. subs

An employee with a Subcontractor position is not the same as a sub. An employee with the Subcontractor position has a Workglue account, can be scheduled, and is a paid user in your subscription. A sub is added through the Subs tab on the Employee List, does not have access to Workglue, and does not count as a paid user.

The Owner system role cannot be unassigned or altered. To transfer ownership to a different user, contact Workglue Support.
