Email Templates

Learn how to create and manage Email Templates in Workglue to send consistent, personalized emails using dynamic variables pulled from Jobs, Accounts, Contacts, and more.

Email Templates are reusable email bodies you create once and use across automations and manual emails sent from records in Workglue. Templates support rich text formatting and dynamic variables that automatically pull in job-specific, account-specific, and contact-specific information when the email is sent.

How to access Email Templates

  1. In the left navigation, select My Account.
  2. Select the Custom Fields tab.
  3. From the Select Category dropdown, choose Email Templates.

The page displays the Email Templates section with a table listing all existing templates by name and a message preview.

How to add a new Email Template

  1. Go to the Email Templates section in Custom Fields.
  2. Select Add New Item at the bottom of the table.
  3. The Add New Email Template modal opens.
  4. Enter a Template Name.
  5. Write your message in the Message Content editor.
  6. Use the Insert Variable button to insert dynamic variables anywhere in the message.
  7. Select Save Template.

Formatting options

The Message Content editor supports the following formatting:

  • Bold, italic, and underline
  • Bulleted and numbered lists
  • Left, center, right, and justified alignment
  • Hyperlinks and link removal
  • Tables
  • Text color

Use Clear to remove all content from the editor, or Clear formatting to remove formatting while keeping the text.

Using variables

Variables are placeholders that automatically pull in real data when the email is sent. Select Insert Variable to open the variable picker and choose from the available variables. Variables are inserted into the message in the format variablenamevariablename variablename.

Variables are grouped by the type of data they pull from. Please consult the dropdown for the full list of available variables.

How to edit an Email Template

  1. Find the template in the table.
  2. Select the row to open the edit view.
  3. Update the name or message content as needed.
  4. Save your changes.

How to delete an Email Template

  1. Find the template in the table.
  2. Select the red trash icon on the right side of the row.
  3. Confirm the deletion.

Deleting an Email Template cannot be undone. Any automations using the deleted template will need to be updated with a new template before they will send correctly.
