Custom Fields and Settings
Learn how the Custom Fields and Settings tab works in Workglue and how to use it to manage cost codes, custom fields, customer types, email templates, file categories, job stages, job types, and lead sources.
The Custom Fields and Settings tab in My Account is the central hub for configuring how your Workglue database is structured. From here, you manage cost codes, custom fields on records, customer types, email templates, file categories, job stages, job types, and lead sources. Each of these categories controls how data is entered, tracked, and displayed across Workglue.
Access to Custom Fields and Settings depends on your system role and position. If you need to make changes and cannot, contact your office's Workglue admin.
How to access Custom Fields and Settings
- In the left navigation, select My Account.
- Select the Custom Fields tab.
- Use the Select Category dropdown to choose which category you want to manage.
The page updates to show the section for the category you select. Each category has its own table, add button, and edit options.
Categories overview
The Select Category dropdown contains eight categories. Each is documented in its own article.
- Cost Codes: Define the services and materials your company tracks. Cost codes are used in estimates, timekeeping, and reporting. Each cost code has settings for type, cost, price, taxability, and visibility in timekeeping and estimates, plus flags for equipment and subcontract labor.
- Custom Fields: Define extra fields on Contact, Customer, Job, and User/Worker records. Custom fields let you capture information specific to your business that does not fit in the default Workglue fields.
- Customer Types: Define the types of customers your company works with, like Homeowner, Property Manager, Direct Bill, and General Contractor. Customer Types appear in the Account Type dropdown when creating a Customer Account. If your company uses the QuickBooks Online integration, you can pull Customer Types from QBO using the Sync QB Customer Types button.
- Email Templates: Create and manage reusable email templates with dynamic variables like job name, address, and contact information. Templates are used in automations and when sending emails from records in Workglue.
- File Categories: Define the categories used to organize files uploaded to Workglue. Each category can be marked as Restricted, which limits access to specific user roles.
- Job Stages: Define the stages an Opportunity or Job moves through. Workglue includes 14 pre-defined default stages grouped into Sales, Active, and Closed types. The default stages are hardcoded and cannot be deleted, but they can be renamed. You can also add custom stages below the defaults, and those custom stages can be deleted at any time.
- Job Types: Define the types of jobs your company performs, like Commercial Exterior, Residential Interior, HOA, Industrial, or Prevailing Wage. Each Job Type has options for Time and Materials handling and custom rates for prevailing wage work.
- Lead Sources: Define how leads first come to your business, like Social Media, Google Search, Referral, or Existing Customer. Lead Sources appear in the Lead Source dropdown on Customer Accounts and Contacts.
How to navigate between categories
- Select the Select Category dropdown at the top of the page.
- Choose the category you want to manage.
- The page updates to display that category's section and table.
- To clear the selection and return to the empty state, select the X in the dropdown.
Set up Cost Codes, Customer Types, Job Stages, Job Types, and Lead Sources before you start creating Opportunities, Jobs, and Customer Accounts. These fields drive how your data is categorized, and changing them later can require updating existing records.
QuickBooks Online sync
If your company uses the QuickBooks Online integration, certain Custom Fields and Settings categories sync with QBO:
- Cost Codes: Cost codes can be created in Workglue or pulled from QBO. Items synced with QBO display a green QBO tag.
- Customer Types: Customer Types can be pulled from QBO using the Sync QB Customer Types button. Items synced with QBO display a green QBO tag.
Other categories are managed entirely within Workglue and do not sync with QBO.
