Archiving Jobs

Learn how to archive a Job in Workglue and what happens when a Job is archived.

Closing a Job means moving it to any Closed stage. Closed Jobs are removed from lists and reports unless specifically filtered in. This keeps your active work clean and your lists focused on Jobs that are currently in progress.

What closing a Job does

When a Job is moved to any Closed stage:

  • It no longer appears in the Jobs list by default.
  • It is removed from reports unless the report is filtered to include Closed Jobs.
  • Workers cannot log time against it.
  • The Job and all its data, including the estimate, financials, files, and messages, are preserved.

Closing a Job does not delete it. All Job data is retained and can be accessed by filtering for Closed Jobs in the Jobs list or in reports.

Closed stages

Workglue has four pre-defined Closed stages. Any of these can be used to close a Job depending on the reason:

  • Completed - Archived. The Job is complete and has been archived.
  • Closed - Did not bid. The Opportunity was not pursued.
  • Closed - Lost to competitor. The Job was lost to a competing contractor.
  • Closed - Lost for unknown reason. The Job was lost for an unspecified reason.

Your company can also add custom Closed stages in My Account > Custom Fields > Job Stages to fit your workflow. For details on how stages work, see Managing Job Stages.

How to close a Job

  1. Open the Job you want to close.
  2. Select the status pill at the top of the page showing the current stage.
  3. Select the appropriate Closed stage.
  4. The Job is now closed.

Finding closed Jobs

Closed Jobs do not appear in the default Jobs list. There are two ways to find them:

Filter the Jobs list:

  1. Go to the Jobs list.
  2. Select Filter.
  3. Filter by stage and include the Closed stage you are looking for.
  4. Closed Jobs will appear in the results.

Search:

Use the search bar to find a Closed Job by name at any time.

Account Job History:

All Jobs for a customer appear on the Job History tab of their account, regardless of stage or type. This includes Active, Sales, and Closed Jobs.

  1. Go to the customer's account.
  2. Select the Job History tab.
  3. All Jobs linked to that account are listed here, including Closed ones.

Deleting Jobs

Jobs cannot be deleted in Workglue. A Closed stage is the final state for a Job. If you need to remove an Opportunity that was never converted to a Job, Opportunities can be deleted from the Opportunities list.
